How-to: Resign and Give Two Weeks’ Notice
Education only. This is not legal advice. Notice periods, final pay, benefits end dates, and contract terms come from your employer, your agreements, and local law. If you have a contract, visa, bonus clawback, or a safety concern, talk to HR and, if you choose, your own counsel before you send anything. Do not use this page to hide a resignation or to pressure someone else to quit.
The problem. You have decided to leave, and the awkward part is the conversation. People stall, over-explain, or fire off a novel. Managers remember the handoff more than the speech.
Direct answer. Tell your manager first, in a live conversation if you safely can, then send a short written notice the same day. Two weeks is the common professional default in the U.S. when no policy or contract says otherwise. Offer a concrete handoff, not a guilt essay. Save negotiation, complaints, and exit-interview honesty for the right rooms.
Time box: 30–45 minutes to prepare the note and a one-page handoff list. The conversation itself should be about 10–15 minutes.
Map the people side with how HR works and HR at work. If you are weighing whether to stay, read when to stay vs leave before you resign. A counteroffer is a separate decision: do not invent one in the resignation meeting.
When to use / when not
Use when:
- You have accepted another offer, or you have a real plan to leave without one
- You can name a last day that matches policy or your contract
- You are ready for your manager to tell their boss the same day
Do not use when:
- You are venting and might want the job tomorrow
- You are in danger at work. Prioritize safety and HR or outside help over a polite notice script
- A contract, visa, or commission plan sets a different notice rule you have not read
- You plan to badmouth the company in the notice itself
Steps
- Confirm the decision privately. Check your offer letter or employee agreement for notice, bonus repayment, and equipment return. Write your last day in plain dates.
- Draft the written note first so the live conversation cannot wander into a manifesto.
- Tell your manager live (video or in person). Then send the note. HR or the HRIS resignation form comes next if your company requires it. Do not let Slack gossip beat your manager to the news.
- State the last day and the handoff, then stop talking. You do not owe a detailed reason. “I have decided to move on” is enough.
- Same day, list open work: owner, status, where the file lives, and what “done” means. Offer to transfer, not to keep secretly working after you leave.
- Agree what you will tell the team and when. Ask your manager before you announce.
- Return equipment and close access on the company’s timeline, not yours. Export only what policy allows. Personal files only.
- If they ask you to leave immediately, stay polite, ask HR what final pay and benefits look like, and do not argue the policy in the hallway.
Script (what to say / send)
Live, to your manager:
I wanted to tell you directly. I am resigning, and my last day will be [date], which is [two weeks / the notice in our policy]. I appreciate the work we did on [specific]. I will send a short note after this and a handoff list today covering [projects]. I can help transition through [date]. I am not looking to relitigate the decision.
Written notice (email or HRIS comment):
Subject: Resignation — [Your name] — last day [date]
Hello [Manager name],
I resign from my role as [title], effective [last day]. Thank you for the opportunity to work on [one specific]. I will complete a handoff for [A, B, C] and share it by [date]. Please let me know the company steps for equipment, access, and final pay.
[Your name]
If they ask why:
I have decided this is the right next step for me. I want to use our remaining time on a clean handoff. I am happy to share more in an exit conversation if HR schedules one.
If they float a counteroffer on the spot:
I was not expecting that. I am not going to answer today. If you want to put something in writing, I will read it and reply by [date]. My resignation note stands unless we both explicitly change it.
Watch-outs
- Do not resign by vague text (“I think I might be done”) if you mean it. Ambiguity creates chaos and sometimes a record you did not intend.
- Do not take company files, customer lists, or code “for your portfolio” unless policy clearly allows it.
- Do not use the notice as a complaint channel. That belongs in a factual exit interview or, if needed, a documented concern to HR. The notice is logistics.
- Two weeks is a norm, not a universal law. Some roles, contracts, or countries differ. Read your terms.
- Bridges outlast the speech. The people you hand work to are the ones who get reference calls later.
- This page does not tell you whether you should quit, what you are owed at separation, or how to negotiate severance. Ask HR for the official process, and get your own advice for high-stakes terms.
